The Program Assistant, under general supervision of the AggieSTEM Program Coordinator, assists with the planning, development, and implementation of the Aggie STEM Camp program in the Department of Teaching, Learning, And Culture (TLAC). We are looking for an administrative professional who can thrive in a fast-paced, structured work environment, maintain composure in high-stress situations, has meticulous organizational skills, pays attention to detail, adapts to changes, enjoys taking the initiative to research and works in a team environment while entrusted to complete individual projects. Salary: Compensation will be commensurate to selected hire’s experience.

This position require some work outside of standard business hours to include nights and weekends.

Essential Duties/Tasks

Program Development & Sustainability

  • Collaborates with the STEM Program Coordinator to design the annual calendar, camp schedule of classes, workshops and activities to include but not limited to: Summer camp programs, Fall/Spring AggieSTEM activities, and coordinating and/or assisting with special events as necessary
  • Assists the coordinator with logistical aspects of the camp, such as scheduling presentations, counselor summer work hours, demonstrations, facility arrangements, and equipment procurement
  • Assists in managing camper registration, including processing applications, and maintaining accurate records
  • Assists with the hiring process for AggieSTEM summer staff
  • Supervises student workers, summer counselors, summer teachers as needed.
  • Assists with the setup and breakdown of camp spaces, ensuring that all programming is conducive to learning and safety standards are met
  • Serves as a sound board for AggieSTEM to ensure compliance with local, university, state and federal agencies to include but not limited to: University Programs for Minors, TAMU, TLAC Department and School, and Cities of College Station and Bryan
  • Coordinates office purchases
  • Maintains program records and databases

Communication

  • Assists with parent contact, including in the months leading up to the start of camp, and keep parents informed of all camp logistics.
  • Responds to inquiries regarding program offerings.
  • Designs and coordinates program communications and marketing via email, fliers, social media, and telephone and may perform other duties as assigned.

Qualifications

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of, or the ability to learn, university policies and procedures Knowledge of professional standards and regulations
  • Skill in using computer applications including spreadsheet, database, and word processing software
  • Ability to identify problems, evaluate alternatives, and recommend effective solutions
  • Ability to exercise sound judgment in making decisions
  • Ability to communicate effectively in both oral and written form
  • Ability to maintain effective interpersonal relationships
  • Ability to set priorities and complete assignments on time
  • Ability to obtain CPR, First Aid, and AED certifications within three months of employment
  • Ability to work evenings, nights, and weekends as necessary
  • Ability to create and post social media and other marketing tools to promote AggieSTEM programs

  • Can work in a fast-paced environment with flexibility
  • Dedication to working in a collaborative environment within the STEM Camp program
  • Collegiate Degree or work experience in a STEM related field
